If you’re like most people nowadays, you have an extra computer (or two, or three) that still works fine, but no longer enjoys pride of place since you got the new one. How to make the best use of it? That’s the question. Assuming you haven’t yet given it to your kids (they probably have their own, anyway), you don’t have to set it aside or put it out to pasture. You can set it up so that you can control it from a single keyboard and mouse with a nifty piece of software called Multiplicity.

My personal computer setup is comprised of a new machine with two displays, and an older machine with one display. With Multiplicity I can set up my new computer as the primary machine, then add, through my home network, the second machine as secondary.

This allows me to move my mouse pointer between all three displays and control both computers with one keyboard/mouse combination. Each monitor is connected to its own PC. When the user moves the mouse over to a given monitor, the user is then controlling that PC. Not only that, but I can also copy and paste files and folders between machines.

Multiplicity is not a “remote desktop” application. Each system continues to need its own monitor to display that PC. Multiplicity is used to seamlessly move between multiple machines and control them from one primary PC.

If you are a power user and have always wanted to be the master of multiple computers, Multiplicity is your answer. Multiplicity is available as a standalone application or as a component of the ThinkDesk utility suite for Windows.

From the ThinkDesk web site: “ThinkDesk is a suite of utilities that is designed to allow users to increase their productivity and security by leveraging the power of their computers together.” Included in the ThinkDesk suite are Multiplicity, KeepSafe, ThinkSync, and SecureProcess.

It’s important to note that using Multiplicity is not the same as having multiple displays for one computer. It’s better than that. You actually have the power and usefulness that comes from multiple computers, so you can run more applications at the same time. Just think of all the things you could do! But please, make sure to use your new powers for good and not evil.

Unfortunately, the program is not free, it costs $29.95. However, this is well worth the price for gamers, power users, or graphic designers who already have multiple computers and multiple monitors. Note that you can also control multiple computers via one monitor using what is called a KVM Switch. The benefit of Multiplicity is that you can SEE all of the desktops simultaneously and easily share files between the computers. Enjoy!


How to connect two or more computers to one monitor

Here at my office, we have five servers that are controlled by a single mouse and keyboard and are connected to only one monitor for ease of administration and lack of extra space! If you have more than one desktop at home, maybe a Windows box and a test box with Linux installed, you can connect both computers to one monitor using what is called a KVM switch.

A KVM switch, which shockingly stands for Keyboard, Video, Mouse, is a small piece of hardware that looks kind of like your wireless router, but instead of network ports, it has a VGA video port and PS2 or USB mouse/keyboard ports. The device is very simple to use and usually requires no external power source! Most KVM switches will draw their power from the computers that are connected through the provided cables.

Here’s an example of a D-Link 4-port KVM switch. One each side there are two sets of mouse, keyboard, and video connections. At the top left, you’ll notice a small button, which is used to “switch” between the computers. A lot of the newer KVM switches also allow control to be switched by pressing a particular key or performing a set of keystrokes on the keyboard.

There are two types of switches that you can buy, USB or PS2. Now that many computers have USB ports, the KVM cable will have one end that is USB, which you can simply plug into any free port and it will control both the mouse and keyboard. However, I suggest buying a PS2 KVM switch (like the D-Link shown above) because I have learned form experience that if something goes wrong with your computer and you have to boot into safe mode or do something in the BIOS, the keyboard and mouse will not work if connected to a USB KVM switch!

You can purchase KVM Switches that support anywhere from two computers all the way up to 64. Of course, these types of switches were mostly meant for large server rooms at companies, but now that many consumers have more than one desktop at home, D-Link, Netgear, and other hardware manufacturers have started creating consumer versions with two or four ports.

Most KVM switches that you will find online will have cables that are only about 6 ft. long, which means that the computers have to be in close proximity of the switch. If you want to connect multiple computers that are more than 10 ft away from the central monitor, you can use either a local remote KVM device or KVM Over IP.

With a local remote KVM device, you can connect computers to the device using normal network Category 5 cables. This setup require small interface devices at the computers that convert the peripheral device signals to network protocols that can be transmitted over Cat 5 cables and then get converted back to analog signals at the KVM device.

However, this option still requires that cables (Cat 5 in this case) are used to connect the computer directly to the switch. If you want to be able to control any computer on a network, you can do so using a KVM IP switch. This means that the computers can be connected to Local Area Network, Wide Area Network, or through a phone-line. The signals are converted and sent over the network to the KVM device where they are converted to normal signals.

Smart and Easy Ways to Reduce Printing Costs


If you print a lot of documents on your inkjet printer at home, you've probably noticed that the costs of ink and paper over time are simply ridiculous—in some cases, they can exceed the price of your entire computer. After spending a weekend printing receipts for the accountant and completely depleting my $14.99 black ink cartridge, I've compiled the best ways to save money on printing costs (and compute greener at the same time).

Of course the most obvious way to save money on printing is simply this: don't print it. In the electronic age printer abstinence is more possible than ever, but when you absolutely must print something for one reason or the other, keep these tips in mind.

Print More than One Page Per Sheet

What simpler way is there to save paper than to print more than one page on each sheet? This works out especially well for PowerPoint presentations, where the bullet points can usually be easily read even with the smaller view.

In the print dialog, just choose Handouts from the "Print what" drop-down, and then choose the number of slides per page you want. You can also save some ink by printing only in Grayscale.

You'll find a similar setting in Microsoft Word's print dialog as well, where you can choose the number of pages per sheet. I find that printing 2 pages per sheet keeps the document fairly readable.

Many laser printers also provide a simple duplex option that will print on both sides of the paper.

Use Print Preview and Shrink to Fit

How many times have you printed off what you thought was a single page document and ended up with an almost empty page at the end? If you always blindly click the print button without previewing first, you're going to end up wasting a ton of ink and paper when your document ends on a single line, or ends up being unreadable. By using Print Preview you can avoid this from happening and print exactly what you want, at the expense of a couple of seconds of your time.

Firefox and Internet Explorer have an option called "Shrink to Fit" in their Print Preview dialogs which will often shrink the content down enough to fit on less pages, or you can choose a custom zoom level to fit even more on a single page.

Microsoft Word also has an option called "Shrink One Page" which will attempt to shrink the document by one page by reducing the size and spacing of the text.

Only Print the Selection You Need

Instead of printing information by the page, almost every application has a feature you might not have even noticed: the ability to print just a selection of text. This is especially helpful for printing a paragraph from a web page, or just a small section of a very long document or spreadsheet instead of throwing away the pages you don't need.

This technique works in most major applications like Internet Explorer, Firefox, Microsoft Excel & Word... simply select the portion of the document you want to print, and then choose the "Selection" option in the print dialog.

I've found this works especially well when printing off a blog article, since unfortunately very few blogs hide the comments from the print view, so you end up with half a dozen pages of comments. Note that you can also choose to print just certain pages, very useful when you can't easily make a selection but know you just need a particular page.

printingcosts07.png If your selection ends up being most of the page, you can alternatively use previously mentioned Firefox extension Aardvark to simply hide anything on the page that you don't want to print, like colorful advertisements and unnecessary graphics that are a waste of ink.

Print Multiple Selections on a Single Page

Instead of printing a single selection at a time, you can select multiple areas on the page and "clip" them for later printing on a single page with the HP Smart Web Printing application for Internet Explorer and Firefox 2.0. (Note that even though it's made by HP, it will still work on any printer). This application can save a serious amount of paper if you often need to print addresses or contact information from a number of places at once.

Sadly, the add-on didn't work for me in Firefox 3 even after using Nightly Tester Tools to override the compatibility. Hopefully they'll update the product soon, because it's really a great way to save paper.

Use Draft Mode as the Default Setting

If you are using an inkjet printer, there's really no need to print in high or even medium quality for simple things like driving directions or articles you want to read offline. You'll save a ton of ink (and time) by setting Fast Draft as the default option in the printer properties, so you won't ever forget and send a long document to the printer in regular mode.

Simply open up the Printers folder (in Windows, at least), and right-click on your printer, choosing Printing Preferences. While I can't give you instructions for every printer type, almost all of them have an option for "Fast Draft" under the print quality section. You can save your color ink by also choosing to only print in grayscale by default.

Many printers like my HP will let you save different sets of settings as defaults you can quickly choose when printing, as you can see I named mine Cheap/Fast and set that as the default print mode. If your printer doesn't have that option, you can create multiple printer configurations to save time.

Print to PDF Instead of Paper

Instead of printing documents to paper, you can print them to environmentally friendly PDF files that can easily be emailed around. There's quite a number of options you can choose from: doPDF, PDFCreator, or CutePDF for Windows users, CUPS-PDF for Linux, and even though Mac OS X users have "Save as PDF" baked right in, you can set up CUPS-PDF as a printer that doubles as a PDF converter.

You can take it a step further if you want, and set up your own PDF printer on your Windows home network, or replace faxing by creating a scanned signature and then sending scanned PDF's rather than faxes.

Refill Your Own Printer Cartridges

Unless you are printing photographs or something that requires high quality (like a resume), you can purchase refilled printer cartridges for a lot less than the cost of a new print cartridge. Used print cartridges can't be refilled forever, and the chance of failure is greater than using new cartridges, but at a substantial cost savings, it's probably worth the risk.

If you don't mind rolling up your sleeves, you can even refill your own cartridges and save yourself even more on your printing costs.

Track Your Savings with GreenPrint


If you're a fan of more automatic solutions, you can use previously mentioned GreenPrint, a free utility that works as a virtual printer and catches the document before being sent to the printer, giving you options to remove blank pages or anything that you don't want to print, or even an option to print to PDF instead of paper. As a bonus you get to see a report of how much paper and money you have saved.

Find Better Prices for Digital Photo Prints Online

Instead of very quickly wasting all of your color ink printing photos on your home printer, you can get cheap rates on print-and-mail photo prints from any number of online establishments. You can use previously mentioned digital print comparison site PrintRates.com to easily see who has the best prices, and possibly save yourself a lot of money the next time you need to send out holiday photos.

Debunking Common Windows Performance Tweaking Myths


As a tech writer, one of my biggest pet peeves is the plethora of bad advice littered across almost every web site dedicated to system tweaking. Besides the tweaks that simply don't work, some of them will actually cause your computer to run even slower—or worse. Let's examine some of the most offensive myths out there regarding PC performance tweaking, and debunk them once and for all.

Disabling QoS to Free Up 20% of Bandwidth

This tip made the rounds with people believing that Microsoft always allocates 20% of your bandwidth for Windows Update. According to the instructions, you were supposed to disable QoS in order to free up bandwidth. Unfortunately this tip was not only wrong, but disabling QoS will cause problems with applications that rely on it, like some streaming media or VoIP applications.

Rather than taking my word for it, you can read the official Microsoft response: "There have been claims in various published technical articles and newsgroup postings that Windows XP always reserves 20 percent of the available bandwidth for QoS. These claims are incorrect... One hundred percent of the network bandwidth is available to be shared by all programs unless a program specifically requests priority bandwidth."

Make Vista Use Multiple Cores to Speed Up Boot Time

boot_option.jpgThis bogus tip made the rounds recently and almost everybody got caught including Lifehacker and big brother site Gizmodo... although commenters called it out quickly on both sides, and the editors updated the posts. (That's yet another reason to always participate in the comments here.)

According to this tip, you were supposed to use MS Config to modify the "Number of processors" drop-down on the Boot tab. The problem is that this setting is only used for troubleshooting and debugging, to be able to determine if there is a problem with a single processor, or for a programmer to test their code against a single core while running on a multi-core system. Windows will use all your processors by default without this setting.

Clearing Out Windows Prefetch for Faster Startup

The Prefetch feature in Windows XP caches parts of applications that you frequently use and tries to optimize the loading process to speed up application start time, so when a number of sites started suggesting that you clean it out regularly to speed up boot time it seemed like good advice... but sadly that's not the case, as pointed out by many Lifehacker commenters.

The Prefetch feature is actually used as a sort of index, to tell Windows which parts of an application should be loaded into memory in which order to speed up application load time, but Windows doesn't use the information unless it's actually starting an application. There's also a limit of 128 files that can be stored in the prefetch folder at any point, and Windows cleans out the folder automatically, removing information for applications that haven't been run as frequently. Not only that, but a well-written defrag utility will use the prefetch information to optimize the position of the files on the disk, speeding up access even further.

Windows expert Ed Bott explains it:

The .pf files don’t get used at all until you run a program. What actually happens when you click an icon is that Windows uses the information in the Prefetch folder to decide which program segments to load and in what order to load those pages.

Cleaning the Registry Improves Performance


The Windows registry is a massive database of almost every setting imaginable for every application on your system. It only makes sense that cleaning it out would improve performance, right? Sadly it's just a marketing gimmick designed to sell registry cleaner products, as the reality is quite different... registry cleaners only remove a very small number of unused keys, which won't help performance when you consider the hundreds of thousands of keys in the registry.

This isn't to say they are completely useless, of course. I'd still recommend cleaning the registry when you are trying to troubleshoot a problem caused by uninstalling buggy software that leaves entries behind, but even then you should be very careful to use a reputable application like previously mentioned CCleaner and review the entries before deleting anything.

Ed Bott weighs in with a stronger opinion:

I’d go a step further: Don’t run registry cleaner programs, period. I won’t go so far as to call them snake oil, but what possible performance benefits can you get from “cleaning up” unneeded registry entries and eliminating a few stray DLL files?

Clear Memory by Processing Idle Tasks

By this point you should be starting to get the picture... if something sounds too good to be true, it likely is. This well-traveled tip usually claims that you can create an "undocumented" shortcut to Rundll32.exe advapi32.dll,ProcessIdleTasks that will clear out memory by processing all of the idle tasks wasting memory in the background.

What's the problem? Those idle tasks aren't actually waiting in the background... what you are effectively doing is telling the computer that you've walked away so it can now do other processing while you are idle. Except you aren't. The real purpose of this functionality is to finish all processing before running benchmarks to ensure consistent times, and according to the Microsoft documentation there's a whole different story:

When called from the command line, the ProcessIdleTasks work is done in the background asynchronously. It can take 10 to 15 minutes for idle tasks to complete. Task Manager will report processes running, and the disk will likely be active during this time.

Clean, Defrag and Boost Your RAM With SnakeOil Memory Optimizer

Just take a quick look at any download site, and you'll find hundreds of products that claim to "optimize RAM to make your computer run faster". Give me a break! Almost all of these products do the same things: they call a Windows API function that forces applications to write out their memory to the pagefile, or they allocate and then deallocate a ton of memory quickly so that Windows will be forced to page everything else.

Both of the techniques make it appear that you've suddenly freed up memory, when in reality all you've done is trade in your blazing fast RAM for a much slower hard drive. Once you have to switch back to an application that has been moved to the pagefile, it'll be so slow you'll be likely to go all Office Space on your machine.

Windows expert Mark Russinovich agrees:

At best, RAM optimizers have no effect, and at worst, they seriously degrade performance.

Disabling Shadow Copy/System Restore Improves Performance

I've barely come across a Windows Vista tips site that doesn't tell you to disable System Restore to speed up performance, because it takes up to 15% of your hard drive by default, which sounds like good advice. Except it's not.

The reality is that System Restore only actually kicks in when you are installing updates or applications, or at pre-scheduled times in the day, and the automatic checkpoints will only happen when your computer is not being used. These checkpoints allow you to easily roll back your system to a pre-crash state, and I can tell you from experience that System Restore is a critical feature when your Vista machine has problems, allowing you to easily get back to a working state.

Instead of disabling System Restore to free up space, Ed Bott suggests that you simply use Disk Cleanup to remove all but the most recent restore point. (Under the More Options tab, you'll find a Clean up button).

Enable SuperFetch in Windows XP

Somebody decided to start spreading the myth that you could enable SuperFetch in Windows XP by adding the same EnableSuperfetch key into the registry that Windows Vista has, and it spread like wildfire. Naturally, this tip was completely bogus.

The good news is that this tip is one of the few that will not harm your system in any way, as long as you don't break something while editing the registry. If you insist on using it, I won't complain.

If you want some proof, you can use the strings.exe utility to see that "superfetch" doesn't exist anywhere in the XP kernel, or you can believe Ed Bott and Mark Russinovich, who have already debunked this myth.

Disabling Services to Speed Up the Computer

Perhaps the most common myth is the advice to disable all services that you aren't using. I realize this will generate some controversy, so let me clarify: Disabling non-essential services that are NOT part of Windows will sometimes yield a performance gain if you have identified those services as causing a problem. You can identify or disable those services by opening msconfig.exe and checking the box for "Hide all Microsoft services" on the Services tab:

The problem with disabling services is that your devices will often not work once you do: for instance, I disabled the "Unknown" dlbt_device service in the list above, and could no longer print to my Dell printer... disabling the VMware services made VMware unable to run, and so forth.

You should be even more careful to not disable built-in Microsoft services in Windows, except for a select few under certain circumstances:

  • SuperFetch—This caching service preloads applications into memory, and actually does work. The problem is that it can cause your hard drive to do a lot of grinding while it's working, which is especially irritating on a laptop.
  • Windows Search—If you don't use the Vista search or you use an alternate desktop search engine, you really don't need this service and can increase performance quite a bit by disabling it.
  • Windows Defender - If you are already using another anti-malware product, you really don't need this running as well.
Ed Bott's summary speaks for itself:
If someone tries to talk you into disabling a bunch of other services, ask them what you stand to gain. I’ll bet they can’t tell you.

Editor: Readers should note that a recent Windows Vista tweaking guide, offered for download by Microsoft, does suggest disabling unneeded services.

When it comes to performance tweaking, a very large amount of testing is required each and every time you make a change. The better option is to simply install more RAM and clean up your PC if you are having performance problems, and perhaps demand a little more proof before applying secret hacks.

Intelligently utilizing your CPU cores

With the advent of multiple CPU cores, software - particularly Operating systems - need to be aware of additional core and how to utilize them efficiently. Windows does a fine job at it. However, it doesn't give the user much control over it other than allowing a basic processor affinity allotment.

But then again why would a user want to look into the nitty-gritty's of processor usage? Well because God's in the details! Most users do not need to look into how a system manages process priorities and core usage but experts/technically inclined users (read geeks) will really appreciate the minute control that one can have over the cores.
Today's application that I'm referring to is a real smart one called Process Lasso. Process Lasso is specifically designed to let you harness all the processes running in the system to avoid unpleasant bottleneck situations. Its main purpose is to enable computer responsiveness and lets the user create specific rules for all the processes running on the computer leading to much better system responsiveness.
First of all you must understand that Process Lasso does allow automatic process utilization, but in order to get maximum benefit you will have to decide for yourself which core to assign to what process. How does one determine that is difficult to say, as this depends on the programs and the tasks that you do on your computer. E.g. If you are decompressing a compressed zip/rar file, one entire core will be dedicated to that process. If this is the same core that explorer.exe is using currently then obviously your PC will slow down. Therefore you will need to be alert to have the forethought of switching the core. This is the reason why this program is not for everyone but only for the experienced technically inclined users.



Also do not expect incredible speed boosts/computer responsiveness as this depends purely on the task at hand, e.g. decompressing a file is a CPU intensive task no doubt but it is also a hard-disk intensive task at the same time, therefore the speed increase or responsiveness does not depend on CPU alone but rather the entire system.

Thirdly, Process Lasso does not use easy to understand terminology, terms such as processor affinity, process restraint settings etc aren't exactly friendly terms and can get quite confusing. On top of that, the help section exists on the website is not the best but it's adequate for those who understand technical stuff, laymen would only get further confused. This is generally the case with user created applications, being said that the application itself is great. To give where credit is due, the author has taken a lot of effort to make balloon pop-ups where required to help understand the software better.



Fourthly Process Lasso is not an attempt to replace Task Manager. That job happily System internals Process Explorer can do which Microsoft bought over.

What Process Lasso can do

The interface is straightforward, displays all currently running processes as well as a graph with CPU usage and responsiveness. Just like Windows Task Manager you can see the list of all processes detailed activity such as working set memory, commit size, priority, CPU affinity (which core it is utilizing), CPU usage, location, etc.

If you want to assign a CPU core to a specific task, you need to open the program first. Now you can assign which process/program should use what core. Of course by default all processes use whichever core is available, but you can set a heavy CPU task to only the second core and explorer.exe to the first core only. To do so, just click off the CPU # of the process that you don't want to use. The main advantage here over Windows Task Manager Process Lasso remembers the setting even after a restart. Neat huh!



Process Restraint

The goal is to improve system responsiveness and this can easily be achieved with Process Lasso's internal Process Restraint setting. What this does is, it restraints the process trying to hog more than the allotted limit of the system resources if another process at the same time needs CPU cycles therefore allowing better system responsiveness. Process restraint is confused a lot, please read the "How Does Process Lasso's Restraint Work?" which will help you understand it better in a non-technical way.



Wonderfully you have the option of editing Out-of-control Restraint settings that it permits by providing exceptions and setting the overall percentage value to trigger restraint setting.


Whitelist/Blacklist

You can gain further control over the processes by using whitelisting/blacklisting processes; even wildcards work here. This is prefect as a precaution for blocking dangerous spyware/viruses.

This is the icing on the cake. Process Lasso lets you export/import your settings. That means even if you reformat the system and start afresh, you just need to import the settings and you are good to go.



Bottomline

Process Lasso's goal is to increase system responsiveness. The goal is not something that is an end but an ongoing process, in short a journey that must be constantly altered. Process lasso does a great job handing over the power over how CPU is allotted to running process and how the resources should be allocated in case a certain threshold is exceeded. However, this presupposes one thing, that you are knowledgeable about these things and therefore need a program to help you achieve your goal. Therefore, care should be taken when tweaking up everything as problems may crop up along the way. But for those that want this sort of power and control, you'll be pleasantly satisfied.
